Ridgeview Manuscript Co. works with material that may be personal, unpublished, and important to its author. We treat that trust seriously. This policy explains how we handle personal information and manuscript files. Ridgeview Manuscript Co., operated by Riddle Ridge Ltd., works with material that may be personal, unpublished, and important to its author. 

1. Your Manuscript Remains Yours

You retain 100% ownership and copyright in your manuscript. Submitting a manuscript to Ridgeview gives us only the limited, temporary permission needed to access and review it for the service you requested. Submission does not transfer copyright, publishing rights, licensing rights, or ownership to Ridgeview.

2. Manuscript Confidentiality

Manuscripts and related client materials are confidential. Ridgeview will not sell, publish, distribute, disclose, reproduce, or share any portion of a client's manuscript with a third party without the author's explicit permission, except where disclosure is required by law or is strictly necessary to provide the contracted service through an approved service provider.

Permission to use a testimonial, review, or client's name does not include permission to quote or display the client's manuscript. Permission to use manuscript excerpts must be obtained separately and explicitly.

3. Human Review and AI

Ridgeview's manuscript assessments and editorial judgments are performed by a human. Ridgeview will not upload a client's manuscript, in whole or in part, to a generative AI system for assessment, editing, rewriting, training, or content generation without the author's explicit prior consent.

Ridgeview may use technology, including AI-enabled tools, for administrative or business tasks that do not require submitting the client's unpublished manuscript. Client manuscripts will not be used by Ridgeview to train generative AI models.

4. Information We May Collect

  • Name and contact information.

  • Information supplied through inquiry, intake, assessment, or contact forms.

  • Manuscript title, genre, word count, project details, and uploaded manuscript files.

  • Communications with Ridgeview.

  • Transaction and service records. Payment-card information may be processed directly by a payment provider rather than stored by Ridgeview.

  • Basic website and technical information collected through the website or service providers, where applicable.

5. Why We Use Information

  • To respond to inquiries and communicate with clients.

  • To assess, schedule, perform, and deliver requested services.

  • To process and document transactions.

  • To maintain records required for accounting, legal, security, and business purposes.

  • To operate, protect, and improve Ridgeview's website and services.

  • To comply with legal obligations.

6. Marketing

Submitting a manuscript, purchasing a service, or contacting Ridgeview does not automatically subscribe a person to marketing communications. Ridgeview will obtain the consent required by applicable Canadian anti-spam law before sending commercial electronic messages where consent is required, and will provide a working unsubscribe method.

7. Service Providers

Ridgeview may use third-party providers for website hosting, online forms, file transfer or storage, payment processing, email, and other necessary business functions. These providers receive only the information reasonably necessary for their role and may process information under their own privacy terms. Before publication, Ridgeview should identify material providers used in the live workflow, including Wix, Jotform, and the selected payment processor.

8. File Retention

Ridgeview keeps manuscript and editorial working files for 90 days after the completed service is delivered, unless a different period is required by law or agreed with the client. After that period, Ridgeview deletes the manuscript and working files from active storage.

A client may request earlier deletion after the contracted service is completed, subject to any legitimate legal, security, dispute, or recordkeeping reason requiring temporary retention. Business records such as invoices, transaction records, service dates, and necessary correspondence may be retained separately for accounting and legal purposes.

9. Safeguards

Ridgeview uses reasonable administrative, technical, and organizational safeguards appropriate to the sensitivity of the information in its care. No internet transmission or storage system can be guaranteed to be completely secure.

10. Access, Correction, and Privacy Questions

A person may contact Ridgeview to ask about personal information held about them, request correction where appropriate, or raise a privacy concern. Requests are subject to applicable legal rights, exceptions, and identity-verification requirements.

11. Required Disclosure

Ridgeview may disclose information where required or authorized by law, including in response to a valid legal process, or where reasonably necessary to protect legal rights or address fraud, security, or safety concerns.

12. Changes to This Policy

Ridgeview may update this policy when its services, technology, providers, or legal obligations change. The website should display the current effective date.
